  9. Changes to this notice

This notice explains what personal data Vantera collects, why, and what your rights are. The short version: the Vantera app sends us almost nothing. Your footage, recordings, camera details, passwords and stream keys stay on your own computer. We collect personal data when you ask us something, start a trial, or buy a licence.

1. Who is responsible

The data controller is Danny Holland, trading as Vantera, of 39 Windsor Road, High Barnet, EN5 2LX. Email: hello@vanterastudio.com.

2. What stays on your computer

Vantera does not send us, or anyone else, the following. They are kept on your computer only:

Vantera contains no analytics, advertising or crash-reporting service, and it does not track how you use it.

Vantera talks directly to the cameras, routers, panels, streaming services and other equipment you set it up to use. When you stream, your programme goes to the streaming service you choose (for example, YouTube), under that service's own privacy policy.

3. What we collect, and why

3.1 When you start the free trial

The first time Vantera runs, it contacts our licensing server once to start your trial, and again if it needs to confirm it. It sends:

Our server keeps the machine code, the trial start and end dates, the first and latest Vantera version seen, when it last checked, and how many times it has checked. Like any web server, it also sees your IP address. We keep only a scrambled (hashed) form of it, in a counter that limits how often one network can ask (kept for 7 days, see section 6), and never store it with the trial record.

Why: so the trial gives each computer one seven-day period, and cannot be restarted by reinstalling. Lawful basis: our legitimate interest in offering a fair free trial and preventing its misuse.

3.2 When you ask about buying, or ask us a question

If you use Unlock the full version in Vantera, or email us, we collect what you give us: your email address, and optionally your name, organisation and message. From the app we also record the Vantera version and how many trial days you had left, and where the enquiry came from (app or website). We store a scrambled (hashed) form of your IP address with the enquiry, to stop automated abuse of the form.

Why: to answer you, send you the price list you asked for (in our pricing email, which carries a link to ask for an invoice), and follow up on your enquiry. Lawful basis: our legitimate interest in responding to people who contact us, or, where you are asking to buy, taking steps at your request before entering into a contract.

We do not add you to a marketing mailing list. If we ever want to send you marketing, we will ask first, and every message will let you opt out.

3.3 When you buy a licence

When you ask for an invoice we collect: your name or organisation, billing address, email address and any purchase order number. The order form also asks Who is buying? ("An organisation" or "Me, as an individual"), and if you choose "Me, as an individual" it asks you to tick the confirmation described in section 6 of our Terms of Sale. We record the buyer type and, for an individual, the date and time you gave that confirmation, with the invoice. When your licence is issued we record the licensee name shown in the licence, your email address, the edition, the dates, and the payment status. We keep an encrypted copy of your licence key so we can resend it if you lose it.

Why: to issue and send your invoice and licence key, provide support and updates, remind you before your licence ends, keep the accounting records the law requires, and keep proof of the confirmation you gave. Lawful basis: performing our contract with you, our legal obligation to keep tax and accounting records, and our legitimate interest in being able to show that a buyer's confirmation was given.

3.4 Update checks

Vantera checks for updates by downloading a small file from our download server (dl.vanterastudio.com). The request contains nothing about you, but the server, like any web server, sees your IP address and basic request details. Our hosting provider may keep these in short-lived logs for security.

3.5 Problem reports

About › Report a problem creates a file on your computer. It contains your Vantera, macOS and computer model versions, your edition, your capture hardware, the names and network addresses of your cameras, the names of your streaming destinations (never their stream keys), recording settings and any note you type. It does not contain your licence key, passwords or stream keys. Nothing is sent automatically: you choose whether to email it to us. If you do, we use it only to help with your problem.

3.6 Our website

Our website does not set cookies and does not use analytics or advertising trackers. To display the page, your browser loads fonts from Google Fonts and software libraries from unpkg.com, which means those services receive your IP address and basic browser details, under their own privacy policies. Our hosting provider processes your IP address to serve the site and protect it from attack.

4. Who we share data with

We do not sell your personal data. We share it only with the service providers who run our systems for us, under contracts that require them to protect it:

ProviderWhat they doWhere
Cloudflare, Inc.Hosts our website, download server and licensing server, and stores the trial, enquiry, invoice and licence recordsGlobal network; company in the USA
Resend (Plus Five Five, Inc.)Sends our emails: price lists, invoices, licence keys, remindersSending region in the EU (Ireland); company in the USA
Zoho Corporation (Zoho Mail)Our email inbox, for messages you send usZoho's data centres; company in India
Our bank and accountantReceiving payments and keeping our accountsUK

We may also disclose data if the law requires it, or to someone who takes over the Vantera business (who would then be bound by this notice).

5. International transfers

Some of these providers are based in, or may process data in, the United States or other countries outside the UK. Where they do, the transfer is protected by UK adequacy regulations (including the UK Extension to the EU-US Data Privacy Framework, where the provider is certified) or by the UK's International Data Transfer Addendum to the EU standard contractual clauses. You can ask us for details.

6. How long we keep it

DataHow long
Trial records (machine code and dates)3 years after the computer last checked in
Enquiries that did not lead to a purchase24 months after our last contact
Invoices and payment records, including the buyer type and the time of the buyer's confirmation6 years after the end of the financial year they relate to (UK tax law)
Licence recordsFor the life of the licence, then 6 years
Emails with you24 months after our last contact, unless part of an invoice or licence record
Rate-limiting counters (hashed IP addresses)7 days

Deletion runs automatically every day on our licensing server. Trial records, enquiries and rate-limiting counters that have passed the periods above are removed without anyone having to ask. The scrambled IP address stored with an enquiry (section 3.2) is removed from it after 7 days, like the other rate-limiting counters. Emails are in our inbox rather than on the licensing server, and we delete them when they reach the period above.

7. Your rights

You have the right to:

Some rights have limits: for example, we must keep invoices for six years. Because a trial machine code cannot be linked to you without the computer it came from, we may ask which computer you mean before we can find a trial record.

To use any of these rights, email hello@vanterastudio.com. We will reply within one month. It is free.

If you are unhappy with how we have handled your data, please tell us first. You also have the right to complain to the Information Commissioner's Office (ico.org.uk, 0303 123 1113).

8. Children

Vantera is a professional tool and is not aimed at children. We do not knowingly collect personal data from anyone under 13.

9. Changes to this notice

We will update this notice if what we collect changes, and show the new date at the top. If a change matters, we will tell licence holders by email.
